Define who works in each branch
Start by setting up the branches and assigning staff to the locations where they work. Restricted staff accounts use their branch assignments to determine which branch records they can access. Clinic administrator access supports a broader view; permissions still determine the actions available to each role.
Write down the intended arrangement before adding the team. A receptionist covering two sites, a dentist working at one site and an owner reviewing the clinic need different access. Branch support does not imply shared access between separate clinic accounts.
Keep appointments and treatment linked to the right location
The branch associated with a patient, appointment or treatment session matters when staff locate records and when activity is reported. Confirm branch ownership during registration and booking, and test the handover when a patient’s next visit involves a different location.
Do not assume that moving a calendar filter transfers every related record. During evaluation, demonstrate your actual cross-branch patient process and confirm which user can read or update each linked record. Consistent service names and visit durations also make the schedules easier to compare.
Compare reports using the same definitions
Appointment and financial reports can use a branch scope and a selected date range. This lets an authorized owner inspect recorded activity for the locations they manage. Keep the time period consistent and distinguish invoiced amounts from collected payments when comparing results.
Clinic automation begins with dependable inputs: staff record the visit state, complete the treatment session and enter the payment. Linked records and automatic progress updates can carry that information forward, but they cannot compensate for a missed or incorrectly assigned entry. Review a sample day before relying on aggregated figures.
Run a two-branch evaluation
Create sample visits for two branches, record treatment and a payment in each, and inspect the reports as the clinic administrator. Repeat the exercise as a staff member assigned to only one branch. Finally, test an account assigned to both branches and confirm the exact workflow your covering staff need.
- Does the single-branch staff account show the intended patients and appointments?
- Can the owner explain the difference between branch totals and the wider report?
- Does the cross-branch patient process preserve appropriate access to treatment and billing?
- Does the selected subscription include the branch and user capacity your rollout needs?
Practical questions
Can staff be assigned to more than one branch?
Branch access can be assigned through the staff account. Test the exact branch assignments and role permissions needed for staff who work across locations.
Does this combine separate clinic accounts?
This workflow describes branches within a clinic account. Cross-account data sharing or consolidated reporting should be confirmed separately and should not be assumed.
