Dental billing software for invoices, payments and remaining balances

Reception needs to answer a straightforward question at the end of a visit: what was charged, what has been paid and what remains? Dentix connects patient invoices and recorded payments with the patient’s account so authorized staff can follow the financial side of treatment.

Keep the charge and the payment distinct

An invoice records the services charged to the patient and the amount due. Payments are recorded against that invoice, allowing the team to follow a partially paid bill through to settlement. Recording a payment updates the paid amount and remaining balance; the payment cannot exceed the invoice’s remaining balance.

This distinction matters when a patient pays across several visits. A completed clinical session and a settled invoice describe different things. Agree when your team creates the invoice and who records the receipt so the same payment is not entered twice through different workflows.

Review the patient account with the right permissions

The patient account and invoice history provide financial context for follow-up visits. Authorized users can review recorded charges, payments and balances before discussing the next payment with the patient. Financial access is controlled separately from simply being able to read a patient’s clinical record.

Give each staff member the access needed for their work and test it using their own role. For clinics with branches, also confirm which branch owns the relevant patient and invoice and which staff can access that activity.

Use reports to check the recorded activity

Financial reports offer a way to inspect invoice and payment activity over a selected period and branch scope. When comparing reports, keep the date range and branch selection consistent, and check whether the figure describes invoiced amounts, collected payments or an outstanding balance.

Dentix patient billing is separate from the subscription your clinic pays to use the software. Recording a patient payment does not by itself mean a bank or card provider processed funds. Confirm your actual collection process, any external accounting needs and the required invoice format before adopting the workflow.

Test one invoice over two visits

Create a sample invoice for 1,000 in your configured currency, record a payment of 400 and check that 600 remains. Record the remaining 600 during a later visit and inspect the payment history. Then open the patient account and the appropriate report to understand how each view presents the transaction. These numbers are an evaluation example, not Dentix subscription prices.

  • Can authorized reception staff identify the correct invoice before taking a payment?
  • Does the recorded payment method match the clinic’s collection record?
  • Can the owner trace a report total back to the underlying invoices and payments?

Practical questions

Can a patient make a partial payment?

Yes. Invoice payments update the paid amount and remaining balance, and an invoice can remain partially paid until the balance is settled.

Is this the same as Dentix subscription billing?

No. This page describes your clinic’s invoices and patient payments. The pricing page explains what to check when evaluating a Dentix subscription.
