Scope and practice responsibility
This policy covers the Dentix website, practice accounts and booking services. Each practice manages its patient records and decides who may access them. The practice is responsible for informing patients and obtaining required permissions. Dentix processes this information to provide and operate the service.
Information we process
Information includes account, practice and staff details; patient names, contact details, age, gender and appointments; and the medical history, dental charts, treatment plans, attachments, invoices and payments entered by the practice. These records are linked to patients and are not automatically anonymous.
Online booking and tracking
Booking sends your details and your branch, dentist, visit and time selections to the practice to create an appointment and create or link a patient record. A private tracking code provides appointment and queue status. Keep the link and QR code private: anyone holding them can view tracking information. Contact the practice to correct or change a booking.
Use and service providers
We use information for accounts, appointments, treatment workflows, billing, support and service protection. Hosting, storage, email, payment and error diagnostics services may process information needed for enabled features. Payments use the provider available at checkout; we retain transaction references and subscription status. We do not sell patient records for advertising.
AI assistant
When using the assistant, messages and context needed to answer may be sent to an external AI provider according to service settings. Controls redact some identifiers and limit data, but do not guarantee removal of every personal detail from free text. Avoid unnecessary patient identifiers or sensitive information and review responses before using them.
Cookies, storage and analytics
The application uses session cookies and browser storage for preferences such as language and appearance. We measure visits to public pages and registration using a random browser identifier, recording pages, visible engagement time, visit source and registration or contact interest, without patient data. Visit records expire after 180 days. The public website also uses Google Analytics to measure visits and interaction, which may collect device, page and cookie information. Browser settings let you control storage and cookies; blocking session cookies may affect sign-in.
Retention and data requests
Retention depends on account and record needs, practice requirements and applicable obligations, and includes operational logs and backups. Cancellation does not mean immediate deletion or deletion within a fixed period. Patients should contact their practice for access, correction, export or deletion; practice administrators should contact support to establish scope, verify identity and address applicable requirements.
Updates and contact
We update this page when data processing changes. For questions about providers, processing locations or privacy requests, contact support@dent-ix.app without sending medical records or passwords in the initial message.
