Dental appointment management from booking to the treatment room

A useful appointment schedule needs to show more than a patient’s name and a time. Reception needs to know who is coming, which doctor will see them and what happens when they arrive. Dentix connects scheduled visits with patient records, visit status and the daily queue.

Build the schedule around the doctor and visit

Create an appointment for a patient, doctor, start time and duration. Calendar and list views let the team review upcoming work and follow appointment status. Dentix checks overlapping appointments for the same doctor when appointments are created or rescheduled; a cancelled or no-show appointment no longer occupies that slot.

Before the day starts, check your clinic timezone, doctor availability and visit durations. A conflict check can identify overlapping records, but realistic appointment lengths and accurate availability still depend on how your clinic configures and maintains the schedule.

Follow arrivals and the work still waiting

Appointment states distinguish a scheduled or confirmed visit from a checked-in patient and treatment in progress. The daily queue gives reception and clinicians a shared reference for the visit. Linked treatment sessions keep follow-up work connected with the patient rather than relying on a separate handwritten list.

Agree who updates each state during your handover. A queue is only useful when arrivals, cancellations and completed visits are recorded promptly. Review appointment reports for a selected period to investigate the activity your team has actually entered.

Offer online booking with the right settings

The public booking flow can show available slots when the clinic has online reservation enabled and its subscription includes the feature. Configure the clinic’s booking settings and available resources before sharing the booking link. Staff should confirm patient details during the visit, particularly when an online booking introduces a new record.

Patient communication is a separate setup step. If you use WhatsApp alongside appointments, verify the connected number, patient consent and permitted message format. Creating an appointment does not by itself guarantee that a reminder is delivered.

Try a busy reception scenario

Use sample records to book a patient, attempt an overlapping visit for the same doctor, move the original appointment and check the calendar again. Then check the patient in, follow the queue and open the associated treatment record. Repeat the booking as a staff member assigned to a different branch.

  • Can reception identify the correct patient and doctor without duplicating records?
  • Does the revised slot appear correctly in the calendar and online availability?
  • Do staff see only the branch activity permitted by their account?

Practical questions

Does Dentix support online dental appointment booking?

Yes. The clinic must enable online reservation, configure its booking settings and have the required subscription entitlement. Review the public booking flow before sharing it with patients.

Can the schedule prevent overlapping visits?

Dentix checks for overlapping active appointments for the same doctor during creation and rescheduling. Correct working hours, durations and staff use remain part of your scheduling process.
